The Hiring Tracker is the system of record for positions. HR, Finance and Recruiting read the same list, the same statuses and the same annualized cost, so the headcount number is one number.

Finance, HR and Recruiting open the same page and read the part that is theirs. Because it is one list, the number they each walk away with is the same number.

Every position moves Draft to Open to Recruiting to Filled. The stepper in the detail modal shows where it stands and which actions apply.

Actions by state

The actions match the state

Available actions depend on where the position is in its lifecycle, from the row menu or the modal footer. If a position has a workflow in flight, everything collapses to View Details until it clears.

  • Open, not recruiting

    Edit Position, Start Recruiting, Close Position

    Change the seat, hand it to Recruiting, or retire it before a requisition exists.

  • Open, recruiting

    Edit Recruiting, Stop Recruiting

    Adjust the requisition, or end it early: the requisition moves to Closed and drops behind the Closed pill.

  • Filled

    Backfill

    Reopen the same governed position for a departing worker, keeping its cost center, approval and History.

    View Details, Cancel Request

    Inspect a PR row while it waits on the manager or budget owner, or withdraw it.

Who asked, who approved, and why

  • For the auditorWho requested the seat, who approved it and with what comment, when recruiting started. HR opens the tab.
  • For the boardWho signed off on this cost. Finance reads the comment next to the approval.

Position to requisition

The position and the requisition, linked both ways

  • One click to recruitingStart Recruiting on an Open position creates the requisition. Click either card to flip to the other.
  • Synced from your ATSCandidate movement flows in; the hire flips the position to Filled and closes the requisition.
  • No ghost reqsNobody works a seat that was never approved, and Finance counts the hire the moment it lands.

Questions about the Hiring Tracker

What is the Hiring Tracker?

The list of every position in the company, from pending request to filled or closed, with status, manager, cost center, planned hire date and annualized cost. It is where HR and Finance read the same count.

How does a position get created?

Request Position proposes a seat against a cost center. It routes to the requester's manager, then the cost center's budget owner in the Inbox. On approval the PR row becomes a POS position in the Open state.

What is the difference between a position and a requisition?

The position is the funded seat. Start Recruiting on an Open position creates the job requisition, which is the recruiting record handed to your ATS. When the hire completes the position flips to Filled and the requisition closes.

Can I see who approved a seat and when?

Yes. The History tab lists each workflow step with its initiator, its date and the comment the approver was required to enter.

What is a backfill?

A Filled position whose worker is leaving. The Backfill action reopens the same governed position rather than requesting a new one, so the budget and the history stay attached.

Does the Hiring Tracker show compensation?

The Pay Band (min, mid and max for the seat's job family and location) shows on the Overview tab when your role can view compensation data. Bands are configured in Settings > Compensation.
